How to Book a Charter Bus for Your Church Retreat (Florida Edition)

Retreats ask a lot of a coordinator: lodging, meals, activities, and — often overlooked until it's urgent — how the whole congregation actually gets there. Here's how to think through the transportation piece so it's one less thing to worry about the week of the trip.

Decide: one big coach, or a few smaller ones?

If your group is under 25 people, a VIP minibus might be more comfortable and cost-effective than a full motorcoach. Larger congregations — 50, 100, or more — usually need one or more full-size coaches (up to 56 passengers each). Either way, tell the charter company your real number, including any last-minute additions you expect, so they can hold the right vehicle.

Multi-day retreats need a different conversation

A day retreat is a straightforward round trip. A multi-day retreat means the bus (and often the driver) may need to stay with the group or make a return run. Ask directly: will the same driver and coach be with us the whole time, or is this a drop-off and pickup only? Get the answer in writing as part of your quote.

Ask about the driver

For a church group, especially one traveling with children, seniors, or both, the driver matters as much as the bus. Ask whether drivers are uniformed, and whether the company can accommodate any language needs your congregation has — bilingual staff can make check-in smoother for everyone.

Don't forget the return trip logistics

Retreats often end with everyone tired and ready to leave at once. Confirm your return pickup time and location with the retreat venue and your transportation company in the same conversation, so there's no gap between "camp checkout" and "bus departure."

Questions to ask before you book

  • Is the company the actual owner/operator of the coach, or a broker?
  • What's the insurance coverage per vehicle?
  • Is the quote all-inclusive (fuel, driver, tolls) or itemized separately?
  • What's the cancellation or date-change policy?

That last question matters enough that we'd rather you ask it directly than assume — retreat dates shift, and you deserve a clear answer from whoever you book with.
